How to transfer PowerApps to other users
Power Apps developed for internal usage within a corporation
can also be distributed to external users outside the organization. Although
they must be configured differently from internal users, external users need
the same licensing as internal users. By adding all Power Apps external users
to an Azure Active Directory security group and automatically granting app
access and license to all users inside the group, we can make sharing simpler.
Users of external Power Apps must be added to Azure Active
Directory as guests. Open the Global Admin Center by selecting it from the Apps
menu. This admin center is only accessible to people with administrator access.
Select Guest Users.
Then Add a visitor user.
After that, type a personalized note. This will be mentioned
in the email they send us inviting them to visit.
Microsoft will send the external user an email that looks
like this.
To use an app inside
our company, external users also need a Power Apps license. However, there is
no opportunity to issue a license when we try to grant the guest user one in
the Global Admin Center. For guest users, the assign a license tab is not
accessible.
Instead, we must construct a group in Azure Active Directory for external users and assign licenses to each member of the group. Open Azure Active Directory by going to portal.azure.com.
Create new Group and Select Members.
Now that we can set it up so that it grants Power Apps
licenses to each new member. The Power Apps group should be opened.
Select Assignments from the Licenses menu.
Select the licenses that the external user needs in order to
execute the Power Apps program on the update licenses assignments screen.
Depending on whether we are sharing a canvas app or a customized SharePoint
list form, or an app with premium or non-paid connections, various licenses
will be necessary. For confirmation of
which licenses to use, consult the official Microsoft literature.
After you're done, click Save. The Azure Active Directory
group for external users has been configured.
Go to power apps,
and select Share by clicking the three dots next to our app.
The Power Apps app has no longer being shared with a third
party. By clicking the link in their invitation email, they can log in.
